How to add custom status badges to Notion & Slack

A small visual label can make a handoff easier to scan. Start with a clear word like Approved, In review, or Urgent, and give it enough contrast to read at a small size.

Make your badge

Open the approved laurel seal, choose its live text layer, and add your own words. Keep the message short. The original illustration stays separate from the lettering, so you can change the approval line without drawing over the design. A white die-cut edge helps separate artwork from both light and dark backgrounds.

Use a 2× PNG export for a sharp result. The editor exports a transparent background; the checkerboard is only a preview.

Add it to Notion

Download the PNG and drag it into a Notion page as an image block. Resize it to fit your layout and add useful alternative text. Clipboard image support varies by browser, so a downloaded file is a reliable fallback.

Share it in Slack

Copy the PNG and paste it into a message composer, or attach the downloaded file. For workspace emoji, follow your workspace's custom emoji upload permissions and size requirements. A large sticker export may need resizing before it can become an emoji.

Make status understandable

Use words as well as color. Red and green alone are hard to distinguish for some readers. Avoid placing sensitive information in a badge that you will share beyond your team.

Choose a status with a distinct silhouette

Visit the Work & status collection to choose between an approval seal, a lightning ticket, a door tag, a review note, a paper plane, and a lightbulb. Their different outlines make them easier to distinguish in a set than a row of nearly identical pills.

Match the illustration to the role. The paper plane suits a finished release, while a clipped review note can introduce feedback. A tall focus tag works for an availability message. Keep your team's status vocabulary consistent even when the illustrations vary: In review should mean the same thing wherever you use it.

Edit the whole composition comfortably

Click a text layer in the studio’s layer panel to change its words, font, color, or spacing. A template with two lines has two editable layers. Double-click text on the canvas for direct editing. If you want to move the whole sticker, Shift-select its artwork and lettering first.

Leave Export selection off when you want everything on the artboard. Exporting only the currently selected word can produce an image without its illustration. For a closely cropped composition, select all the relevant layers before enabling the selection option. Read the transparent PNG guide if you are unsure which export to use.

Keep the workflow practical

Paste support depends on the browser, operating system, and destination app. Confirm that the result arrives as a usable image and still reads at the size your teammates see. If clipboard copying fails, attach the downloaded PNG instead. A transparent export is still a picture; it does not automatically become a native Slack emoji or an interactive Notion property.

Pair important status stickers with a brief sentence that explains the next action, owner, or deadline. The illustration helps a reader scan the page; the accompanying text carries details that should not be hidden inside a decorative image.

Build a small set for your team

Start with the Approved badge PNG, add an In review sticker, and finish with the Shipped paper plane. Save each to the clipboard tray to download a ZIP with separate image and vector files. A collection link shares these original designs; export any custom lettering separately.

Browse all editable status badges for a focused view of the collection. For a simple text marker alongside your message, copy a Unicode check mark or arrow instead of sending an image. If the badge belongs in a weekly dashboard, the digital planner sticker guide explains how to keep labels readable and useful.
